Terms of Service

The terms that apply when your organisation uses Fibisoft Recruit, and when you use the Fibisoft website.

Last updated: 4 November 2026

These Terms of Service ("Terms") govern access to and use of Fibisoft Recruit (the "Service") and of the Fibisoft website. The Service and the website are operated by SAHELIER STUDIO SARL ("Fibisoft", "we", "us", "our"). Our registered details are published in our Legal Notice.

1. Who these Terms apply to

  • Customer: the organisation that subscribes to the Service under an order form, quote or other written agreement with us (an "Order").
  • Users: the people the Customer authorises to use the Service, such as recruiters, hiring managers and reviewers.
  • Website visitors: anyone who browses our website. Only sections 9, 13 and 15 of these Terms, and our Acceptable Use Policy, apply to website visitors.

If you accept these Terms on behalf of an organisation, you confirm that you are authorised to bind it. If an Order and these Terms conflict, the Order prevails.

2. The Service

Fibisoft Recruit is hosted recruitment software. Depending on the plan in your Order, it lets your team publish jobs on a branded career site, receive applications in one place, organise candidates in pipelines, rank applications with Match Score, evaluate candidates with scorecards, work with a hiring team and stage reviewers, and keep a record of activity in the Audit Log.

We improve the Service over time. We will not materially reduce the core functionality of a paid plan during a billing period you have already paid for.

3. Accounts

There is no self-serve sign-up. Accounts are provisioned by our team after a sales conversation and the signature or written acceptance of an Order.

The Customer names at least one administrator, who invites Users and assigns their roles. The Customer is responsible for:

  • the accuracy of the information it gives us;
  • the activity of its Users in the Service;
  • making sure Users keep their sign-in details confidential;
  • telling us promptly at [email protected] if it suspects unauthorised access to its account.

4. Plans, invoicing and payment

  • Plans: your Order sets out your plan, its limits (for example team members, active jobs and candidate storage), its price and its billing period.
  • Invoicing: we invoice in local currency (CFA francs) unless your Order states otherwise. Invoices are issued for each billing period set out in your Order.
  • Payment: invoices are payable by the due date shown on them, by mobile money through our payment provider pawaPay or by another method agreed in writing.
  • Taxes: prices exclude taxes unless your Order says otherwise. Applicable taxes are added in accordance with Cameroonian law.
  • Late payment: if an invoice remains unpaid after a written reminder, we may suspend access to the Service until it is paid. Suspension does not delete your data.
  • Price changes: we give at least 30 days' notice by email before a price change. It applies from the next billing period.

5. Acceptable use

The Customer and its Users must use the Service lawfully and in line with our Acceptable Use Policy. In particular, the Service must not be used to discriminate unlawfully against candidates, to send unsolicited messages, or to scrape, attack or overload the Service.

6. Customer data

  • Ownership: the Customer owns the data that it and its Users, and its candidates, submit to the Service ("Customer Data"), including candidate profiles, CVs, application answers, scorecards and comments.
  • Our use: the Customer grants us the right to host, copy and process Customer Data only as needed to provide, secure and support the Service, and as instructed by the Customer.
  • No sale, no sharing between customers: we do not sell Customer Data, and we never make one Customer's data available to another Customer.
  • Personal data: for candidate personal data, the Customer is the controller and Fibisoft is the processor. We process it as described in our Privacy Policy and in line with Law No. 2024/017 of 23 December 2024 on personal data protection in Cameroon. The Customer is responsible for having a lawful basis to collect candidate data and for informing candidates. We help the Customer respond to candidates who exercise their rights.

7. Confidentiality

Each party keeps the other party's confidential information confidential, uses it only to perform the Order, and shares it only with people who need it for that purpose and are bound by similar obligations. This does not apply to information that is public, was already lawfully known to the receiving party, or must be disclosed by law. These obligations continue for three years after the end of the Order, and for as long as the information remains confidential in the case of Customer Data.

8. Availability and support

We work to keep the Service available and secure, and we plan maintenance to limit disruption where possible. We do not offer a service level agreement or an uptime commitment, except where one is agreed in writing in a Scale contract.

Support is provided by email at [email protected], at the level that applies to your plan.

9. Intellectual property

The Service, the website, the Fibisoft name and logo, and all related software and content belong to us or our licensors. These Terms do not transfer any of these rights to you. If you send us suggestions, we may use them without any obligation to you.

10. Decisions remain yours

Match Score and scorecards help your team organise and compare applications. They do not make hiring decisions. The Customer remains responsible for its hiring decisions and for complying with employment and anti-discrimination law.

11. Warranties

We provide the Service with reasonable skill and care, in line with the description in your Order. To the extent permitted by law, we give no other warranty, express or implied, including about fitness for a particular purpose.

12. Limitation of liability

To the extent permitted by law:

  • neither party is liable for indirect or consequential loss, or for loss of profit, revenue or goodwill;
  • each party's total liability arising from or in connection with an Order is limited to the fees paid or payable by the Customer under that Order in the twelve months before the event that gave rise to the claim.

These limits do not apply to fraud, wilful misconduct, the Customer's payment obligations, or any liability that cannot be limited by law.

13. Using our website

The website gives general information about Fibisoft. Product features, implementation scope, support levels and commercial terms are confirmed in your Order. Links to third-party websites are provided for convenience; we are not responsible for their content.

14. Term, termination and data export

  • Term: an Order starts on the date stated in it and renews for successive billing periods unless either party gives notice before the end of the current period, or the Order states otherwise.
  • Termination for breach: either party may terminate an Order if the other party materially breaches it and does not remedy the breach within 30 days of written notice.
  • Suspension: we may suspend access immediately if the Service is used in a way that breaches our Acceptable Use Policy and creates a risk for candidates, other Customers or the Service. We will tell the Customer why.
  • Data export: before the end of an Order, the Customer can export candidate data with the CSV export where its plan includes it, or ask our team for an export. We remain available to help with an export for 30 days after the end of the Order.
  • Deletion: after that period, or earlier at the Customer's written request, we delete Customer Data from the Service, except where the law requires us to keep it.

15. Governing law and disputes

These Terms are governed by the laws of the Republic of Cameroon. The parties will first try to settle any dispute amicably. If they cannot, the dispute will be submitted to the competent courts of Cameroon.

16. Changes to these Terms

We may update these Terms. We will tell Customers by email at least 30 days before a material change takes effect. The date at the top of this page shows the current version.
